Choosing inventory software is easier when you start with the work your bakery actually does. List the ingredients and finished goods you track, who updates counts, and how often you order.
Quick read
Compare inventory tools by how well they track ingredients, recipes, waste, and reordering. Test the daily workflow before choosing.

1. Map your inventory
Separate ingredients from items sold at the counter. Note units (kilograms, bags, trays), suppliers, pack sizes, and the information you need at receiving. If recipes or ingredient depletion matter, verify that the product supports those workflows directly.
2. Match features to daily tasks
Make a short must-have list: stock adjustments, low-stock alerts, purchase orders, unit costs, recipe or ingredient tracking, sales reporting, and multiple locations if relevant. Ask each provider to demonstrate your real receiving and counting routine.
3. Check integrations and data flow
Confirm how sales, online orders, accounting, and inventory connect. Ask what syncs automatically, what requires a paid plan or add-on, and how errors are corrected. Square lists item and inventory tools in its official support center, including stock adjustments, purchase orders, and ingredient inventory options: Square Items and Inventory support (consulted 6 Nov 2026). Availability can depend on product, plan, and country.
4. Compare total cost and practical fit
Request a written breakdown of subscription, hardware, payment processing, onboarding, and add-ons for your actual setup. Test the interface with the person who will count and receive stock.
A simple decision worksheet
Score each shortlisted tool from 1 to 5 for fit with your must-haves, ease of use, integrations, reporting, and total cost. Treat the score as a discussion aid, not a substitute for checking provider terms.
Before choosing, confirm current features and pricing directly with the provider; products and country availability change.
