Scope: This practical buyer’s guide is for a small B2B company that needs a shared view of prospects, conversations, and next steps. It focuses on fit and evaluation; it does not claim a hands-on product test or rank the vendor as best.
Quick read: Map contacts, deal stages, tasks, and follow-up ownership before comparing CRM tools.

Start with the job to be done
Use the guide to decide whether a CRM belongs in your sales workflow, and to test what the team can manage consistently. Write down who enters information, what must happen next, and which records the business needs to keep. Decide what a successful result would look like before comparing products.
Run a realistic evaluation
Import a small sample of fictional leads, record one inquiry, assign an owner and next action, move it through your stages, and check whether another team member can understand its history. Use sample data, and record each extra step, missing capability, confusing permission, or required add-on.
Questions to verify
- Contact ownership and duplicate handling
- Pipeline stages that match the real sales process
- Task reminders and handoffs between people
- Required reporting and permissions
- Features available in the plan and region
Check cost, data, and exit options
Ask for the full cost of the configuration you would actually use, including required seats, add-ons, onboarding, integrations, taxes, renewal terms, and payment fees where relevant. Confirm country availability, support arrangements, data retention, security controls, and how records can be exported before committing.
When to keep looking
A CRM will not repair unclear sales stages or inconsistent data entry by itself. Compare the same sample workflow in at least one alternative from the same category. An unknown feature or unconfirmed plan limit is a question to resolve, not evidence of fit.
