Scope: This buyer’s guide is for a service business that repeatedly prepares proposals, quotes, and agreements. It is a product-selection framework based on official information, not a hands-on review or ranking.
Quick read: Check how proposals move from drafting and review to signature and client recordkeeping.

Start with the real workflow
Choose document software by tracing how a document is created, reviewed, approved, sent, signed, and stored—not by judging template galleries alone. List the people, records, and decisions involved. Separate must-have requirements from preferences, and note what would count as a successful result.
Test one representative case
Prepare a fictional proposal with a repeatable service description, pricing, approval steps, and a signature field. Send it to a test recipient, inspect notifications and status, then retrieve the completed document and its audit history. Use fictional or approved test data and record manual workarounds, unanswered questions, and plan restrictions.
Questions to verify before choosing
- Reusable content and approved templates
- Price tables, options, and quote-to-contract steps
- Internal review and client signature flow
- CRM, billing, and file-storage connections
- Version history, access permissions, and export
Check cost and ownership
Request the total cost for your actual configuration, including users, usage limits, add-ons, setup, integrations, support, taxes, and renewal terms. Confirm which team member owns records, access, training, and routine maintenance. Ask how to export your data and close the account.
When to keep comparing
If documents are simple and infrequent, a separate document platform may add more administration than value. Test the same case with at least one alternative. Treat missing documentation or unconfirmed regional terms as open questions rather than as evidence that the product meets your needs.
